Subject : Your complaint on the quality of linen supplied
We are in receipt of your letter ref. TH/123 dated. 30 June 2013, drawing our attention to the quality of linen supplied to you last month. Our Quality Control department has examined the above consignment returned by you, specially taking note of your complaint, regarding the colour and coarseness of material.
We agree that the quality of linen supplied, is not in absolute conformity to the sample enclosed with the order. There has obviously been some mistake, in dispatching the same. However, the colour of the linen is the same as we have been supplying to you over the years. The stain on some pieces could have been on account of the consignment getting wet, while in transit.
We thank you for drawing our attention to this lapse, which we sincerely regret. I have personally taken up the matter with the concerned staff, and have instructed them to send fresh stocks, conforming to your specifications. In order to avoid damage in transit, we shall be packing the consignment in plastic sheets, rather than gunny bags. The consignment shall be sent tomorrow, and would reach you in about a week’s time.
I apologise once again for the above lapse, and the inconvenience it may have caused you, I would like to assure you, that we shall take remedial measures to ensure that it does not happen in future. We greatly value your patronage, and would look forward to a long and fruitful association.
