Notice, Message, Diary Entry

A notice provides information regarding an important event that is about to happen or that has already happened. It is displayed publicly to give information for others to know and follow.

The notice must contain complete information.

The important aspects of a notice include:

  • an eye-catching caption – preferably a phrase and not a sentence
  • inclusion of all important details
  • the name of the body/organization organizing the event

  • The purpose of the notice should be very clear.
  • The notice must contain complete information. The message should have all the essential details.
  • The details should be in order of importance and in crisp short sentences.
  • The language of the notice should be impersonal. Use passive voice as far as possible. Do not use the first person, for example, ‘I’, or the second person, for example, ‘you’.
  • Mention the name of the body/organization organizing the event.
  • State clearly if the event is for any cause.
  • The notice must answer the questions: what, why, when, where.
  • The signature, name and the designation of the person issuing the notice must be included.

  • The notice must be placed within a box.
  • The word limit of 50 words must be adhered to.
  • Capital letters should be used for the name of the issuing authority.
  • A notice is written largely in the future tense. ’

Sample Notice

The Majestic Club of Bangalore is organizing a mega charity show to raise funds for building shelters for those living on the streets. As Secretary of the club, write a notice to be put up on the club notice board about the charity show. Invite names of those interested in taking part in the programme. Members can give suggestions for the programme, to the Secretary in a week’s time. Do not exceed 50 words. Do not give extra information.

4.2.2 Modern Public School is organizing a ‘Book Week’ from 3rd to 8th of August. Students’ work, which include poems, cartoon strips, short stories and book reviews, will be put up for display. The exhibition will be inaugurated by Ms Shehla Shrivastava, a well-known writer of children’s books, and will be open for parents on 7th and 8th of August during school hours.
